User Accounts
Users are responsible for:

- All activity carried out under their account
- Ensuring account information remains accurate

Subscription & Billing

Subscription terms:

- Monthly and annual plans renew automatically unless cancelled
- Payments are processed securely through third-party payment providers such as Stripe
- Failure to pay may result in restricted access or account suspension
Users can cancel subscriptions at any time, however payments already made are generally non-refundable unless required by law.
Free Plan Limitations
The Free plan is limited to:
- 1 property per account
- Limited maintenance usage
Certain features may not be available on the Free plan, including:
- Notes and timelines
- CSV exports
- Additional portfolio functionality
Propiva may modify plan features and limits from time to time.
User Content & Uploaded Documents
Users may upload documents and information to the platform, including:
- Compliance certificates
- Tenancy documents
- Maintenance records
- Tenant identity and referencing documents
Users are responsible for ensuring:
- They have the right to upload and store the content
- The content is accurate and lawful
- Sensitive data is handled appropriately
Users retain ownership of their uploaded content.
By uploading content, you grant Propiva permission to store, process, and display the content as necessary to operate the platform.
Tenant Identity Documents
Landlords are responsible for ensuring that any tenant identity or referencing documents uploaded to Propiva are collected and processed in accordance with applicable data protection laws.
Propiva acts as a platform provider only and is not responsible for how landlords collect or use tenant information.
Compliance Information Disclaimer
Propiva may provide reminders, guidance, checklists, or informational content relating to UK landlord compliance.

Landlords remain fully responsible for meeting their legal obligations.
Maintenance & Communication
Propiva allows tenants to log maintenance issues and landlords to track maintenance activity.
Propiva does not:
- Arrange repairs
- Provide contractors
- Guarantee maintenance outcomes
- Act as an intermediary in disputes
Any maintenance arrangements remain solely between landlords and tenants.
Availability of Service
We aim to keep Propiva available and functioning reliably, however we do not guarantee:
- Continuous availability
- Error-free operation
- Uninterrupted access
We may:
- Update features
- Perform maintenance
- Modify or discontinue parts of the platform
without prior notice.
Limitation of Liability
To the maximum extent permitted by law, Propiva shall not be liable for:
- Indirect or consequential losses
- Loss of profits or rental income
- Legal disputes between landlords and tenants
- Missed compliance obligations
- Data loss caused by factors outside our reasonable control
Users are responsible for maintaining their own backups of important documents and information.
Nothing in these terms excludes liability that cannot legally be excluded under UK law.
Intellectual Property
All platform content, branding, logos, software, and design elements relating to Propiva remain the property of Propiva unless otherwise stated.

Termination
